Why LinkedIn lead generation in Poland pays off
LinkedIn lead generation in Poland gives you access to the largest economy in Central and Eastern Europe and to one of the continent's biggest concentrations of business services. According to the ABSL report on the sector, business service centers in Poland employed about 488,700 people at the end of the first quarter of 2025, across 2,081 centers run by investors from 50 countries. Kraków alone had nearly 108,000 people in 312 centers.
Those centers handle finance, IT, HR, procurement and customer operations for global groups, and they buy software, training, recruitment and consulting. Alongside them sits a large base of Polish-owned manufacturers, distributors and software houses that sell across Europe. The two groups need different messages.
Two Polands: service centers and Polish-owned firms
| Service centers and software houses | Polish-owned companies | |
|---|---|---|
| Where | Kraków, Warsaw, Wrocław, Tricity, Łódź, Katowice, Poznań | All regions, many outside the big cities |
| Language | English is the working language | Polish expected |
| Who decides | Site leader locally, often with approval from headquarters abroad | Owner or Prezes Zarządu |
| Tone | International, first names | Formal, Pan or Pani |
| What sells | Efficiency, automation, talent, compliance with group standards | Growth, export, cost control, reliability |
In service centers, check whether the budget sits in Poland or at headquarters. A Head of Finance Operations in Kraków may love your idea and still need sign-off in London, Chicago or Munich, so ask early who else is involved. In Sales Navigator, filter by headcount and by keywords such as shared service center, GBS or SSC to find them.
Polish forms of address: Pan, Pani and the vocative
Polish business writing is formal by default. You address a man as Pan and a woman as Pani, with third-person verbs, and only move to first names on ty when the other person suggests it. Younger people in tech and in service centers often skip this and write in English anyway.
The tricky part is the greeting. Polish puts names in the vocative case, so Tomasz becomes Panie Tomaszu and Anna becomes Pani Anno. A placeholder inserts the name in the basic form, which reads as a mistake. The simplest fix is to open with Dzień dobry, which is polite and needs no name, and use the name later only where grammar allows. The CEO can also be addressed by function, as Panie Prezesie or Pani Prezes.
Who decides in a Polish company
| Polish title | Meaning | What to know |
|---|---|---|
| Prezes Zarządu | President of the management board (CEO) | Final word in most Polish-owned firms |
| Członek Zarządu | Management board member | Often responsible for a function such as sales or finance |
| Prokurent | Registered commercial proxy | Can sign contracts on the company's behalf |
| Dyrektor handlowy | Sales director | Owns spend on sales tooling and agencies |
| Kierownik działu zakupów | Head of procurement | Price comparisons and supplier terms |
| Rada Nadzorcza | Supervisory board | Approves large decisions in bigger companies |
The National Court Register (KRS) lists board members, proxies and representation rules for every company, which helps you check who can actually sign. Polish companies are more hierarchical than Western European ones; a middle manager may be enthusiastic and still unable to commit without the board.
Email rules: Electronic Communications Law article 398 and UODO
Poland's Electronic Communications Law (Prawo komunikacji elektronicznej, PKE) took effect on 10 November 2024 and replaced the older rules on unsolicited commercial information. Article 398 prohibits using electronic means to send unsolicited commercial information or to conduct direct marketing unless the recipient has given prior consent, and it introduces a single marketing consent for both. Polish commentators note that the law does not distinguish between individuals and companies, so B2B email is covered. The telecoms regulator UKE can impose financial penalties under the PKE.
GDPR applies alongside it, supervised by UODO, the Personal Data Protection Office. A work address built from a person's name is personal data; a generic info@ address is not. Confirm your setup with a Polish lawyer before adding email steps.
- Do not send cold commercial email to Polish prospects without prior consent
- Ask for permission to email inside the LinkedIn conversation and note the answer
- Tell people where you got their data and how to object, as GDPR requires
- Keep LinkedIn messages relevant to the person's role and easy to decline
- Remove anyone who objects from every campaign immediately

The Polish calendar: majówka and November
Poland uses Central European Time. Polish offices start early, often at 08:00, and many people finish by 16:00 or 17:00, so morning messages work best. Several holidays cluster into long weekends that empty offices.
- Majówka: 1 and 3 May often turn into a week off
- Corpus Christi (Boże Ciało) is a Thursday holiday, usually with a bridge Friday
- 15 August, the Assumption, falls in peak summer holiday time
- 1 November (All Saints) and 11 November (Independence Day) slow the month
- Since 2025, Christmas Eve (Wigilia) is a public holiday, so the Christmas break starts on 24 December
- 6 January, Epiphany, extends the New Year pause
Sample messages for Polish prospects
In English: the Polish message thanks them for accepting, asks how the company is preparing to handle KSeF invoices on the purchasing side, and promises not to return to the topic if it is already settled. It opens with Dzień dobry to avoid the vocative problem. The English message suits a service center and asks the question that matters most there: where the decision sits.
